Your Office, Biggleswade

These Terms and Conditions include the Agreement that makes up the Licence to Occupy.



Your Office, Biggleswade Ltd provides a flexible, shared office space for individuals or small teams seeking a professional business environment. Your Office believes in creating an open and collaborative environment where everyone can do their best work and where everyone is respected and feels an included part of the community.

Please read this Agreement and Terms and Conditions carefully and revisit this page from time to time to review any changes that may have been made. We may amend these Terms and Conditions at any time by posting the amended terms on the Your Office website. All amended terms automatically take effect on the date set out in the posted Terms and Conditions, unless otherwise specified.


  • Your Office: The operator of the YO Community Hub (Us/We/Our)
  • The Premises: Suite 2, 2nd Floor, 27-29 High Street, Biggleswade, SG18 0JE.
  • YO Community Hub: The communal working space in the Premises as designated by Your Office
  • YO Desk Space: The desk or table, chair, internet access and for Hot Desks a monitor
  • Hot Desk: Your own personal desk, computer monitor and office chair
  • Co-working desk: An allocated space on the co-working table and office chair
  • YO User: An individual who has booked a desk, seat, phone booth or meeting room. (You/Your)

By making a booking with Your Office you are making an Agreement and must accept to comply with these Terms and Conditions.



Nothing in these Terms and Conditions confers any security of tenure or other rights of exclusive possession or rights of occupation on a YO User.

You may not use the Your Office address for any post or represent it as your ownership.

  1. Working Space, Term and Fee

1.1. Fee for office Space

You will pay Your Office the fee and We will let you access the YO Community Hub during the opening hours for the specified days of the Term.

1.2 Term

The period of business days booked and the opening hours within those days.

1.3. Licence to Occupy

You occupy the YO Community Hub as a licensee only and no part of the YO Community Hub is given to you for your exclusive use.

1.4. Payments

1.4.1. The Fee must be paid in full at the time of booking on-line and in accordance with the Terms and Conditions as laid out in this document

1.4.2. You must pay in at time of booking on-line for all services you wish to use

  1. Your Obligations

2.1. Reimburse Fees Incurred by the Landlord

You must pay Your Office on demand all expenses arising from any failure by You to comply with the Terms and Conditions as laid out in this document and any reasonable action taken by Us because You did not comply.

2.2. No damage

You must not damage the YO Community Hub or furniture in it and must not make any alterations to the YO Desk Space, YO Community Hub or to the pipes, cables, wires and ducts serving the YO Community Hub.

2.3. Failure to Comply

2.3.1. If We require You to rectify any failure to comply with Your obligations then You must comply with Our requirements immediately in the case of an emergency or otherwise promptly.

2.3.2. If at the end of the Term there are any of your possessions in the YO Community Hub We will keep those items for 14 days only after which We may sell or dispose of them as your agent without any liability or responsibility to You whatsoever.

2.3.3. If the YO Community Hub or furniture have been damaged during this Term then We will charge You the cost of putting this right after the Term ends.

2.4. YO User

2.4.1. You must only use the YO Community Hub for office use and may not store or keep any goods or equipment anywhere in the YO Community Hub;

2.4.2. You must not cause a nuisance to Us or to any other occupiers of the YO Community Hub or Premises.

2.5. Who may Occupy

2.5.1. The Licence to Occupy is personal to You.

2.5.2. Only YO Users with a booking for that day, are to come into the YO Community Hub unless a visitor who is joining a meeting in a pre-booked meeting room. If so, the YO User who has booked the meeting room is responsible for that visitor and ensuring they sign in on arrival at the YO Community Hub and comply with the Terms and Conditions laid out in this document

2.6. Management and Membership

You must comply with the Terms and Conditions as laid out here.

  1. Our Obligations

3.1. We must provide the YO Desk Space  in the YO Community Hub to You and the Services as set out in the Terms and Conditions below

  1. General

4.1. Ending this Term

4.1.1. This Term will end at the end of the opening hours on the last specified working day of the booked Term.

4.1.2. The fact that this Term ends will not affect the rights of either party in relation to a previous failure to comply with these Terms & Conditions.

4.2. Limitations

4.2.1. You have no rights that would restrict our right to build or carry out works to any adjoining premises.

4.2.2. You have no rights to enforce any obligations against other occupiers of the Premises.

4.2.3. We are only liable to You for any loss or damage that You suffer that is directly caused by Us deliberately or negligently being in breach of these Terms & Conditions.

4.2.4. Under no circumstances are We responsible for any loss of profits or business loss and in any event Our liability is capped at a maximum of 100% of the total Fees that We have received from You.

4.2.5. Notwithstanding clause 4.2.3 We are not excluding Our liability for death or personal injury.

4.3. Service of Notices

Any notice must be in writing and

4.3.1 may be delivered by personal delivery to Your Office at the YO Community hub or may be sent to Us by email to Hello@YourOfficeBigglewade.co.uk

4.3.2 may be delivered to You in person or at any email address that you have notified us in writing as the appropriate email address for communicating formally with you about these Terms & Conditions.

4.4. Contracts (Rights of Third Parties) Act 1999

Nothing in this Agreement or Terms & Conditions creates any rights benefiting any person under the Contracts (Rights of Third Parties) Act 1999.

4.5. Confidentiality

We and You will both treat the financial terms of this Agreement as confidential and will not disclose them to others apart from Our legal and financial advisors.

4.6. Definitions and General Interpretation

These Terms & Conditions –

4.6.1. Are current at the date of this Agreement and given to You and any revised updated versions will be published on the Your Office website during the Term

4.6.2. Include that an obligation not to do something includes an obligation not to permit or allow another person to do it;

4.6.3. You will be liable for any breaches of Your obligations in these Terms & Conditions committed by – any authorised visitor that is entering the YO Community hub to attend a meeting with You; any person under Your control or acting under Your express or implied authority.

4.7. Membership of YO Community

4.7.1. By agreeing to these Terms & Conditions you become a Member of the YO Community and these Terms and Conditions set out details of the benefits of that membership and any relevant obligations that apply to it.

4.8. Data Protection

4.8.1. We will only process any personal data we collect in accordance with our privacy policy and all applicable data protection laws and regulations.

4.8.2. You confirm that any personal data supplied to Us has and in future will have the informed consent of the relevant person


Terms and Conditions


Your Office’s hot desks, co-working space and facilities are located at the 2nd floor,  27-29 High Street, Biggleswade.

Access is made available to you on a reasonable endeavours basis. Should access or any facilities be unavailable, Your Office will endeavour to provide reasonable notice although this may not always be possible. Where feasible and at Your Office’s sole discretion, Your Office will make alternative arrangements.

Booking a YO Desk Space, phone booth or meeting room at YO Community Hub entitles you to use Your Offices’ desks and facilities during the published opening hours.

You need to have already booked a YO Desk Space, phone booth or meeting room before coming to YO Community Hub unless coming for a pre-booking visit or by prior arrangement.

YO Users have the right to access Your Office’s space on the second floor through the main entrance on the High Street via either the stairs or lift.  There is also access via the rear entrance off Church Street, stairs only.

Each day on arrival you must sign in by taking  your temperature using the digital forehead thermometer and recording it on the sheet.

This is really important for both Covid compliance but also for us to verify who is in the office in the event of an emergency.


Toilets are located on the second floor and a small kitchen within the YO Community Hub

YO Users do not have the right to access any other office areas within the Premises.

Opening Hours

Published opening hours are 8am to 6.30pm.  These may change and will be published on the website.


Your Office has three parking spaces available to clients on a first come first served basis.

Parking is accessed via Church Street, at the back of the office which is on the right directly before the pedestrian crossing

YO Users must provide the registration number of their vehicle parked in Your Office parking spaces on arrival at Your Office.

Park only in the designated spots, marked with Your Office signage.

Your Office parking spaces can only be used by YO Users on days when they have a booking.

Parking spaces are extremely limited on-site at 27-29 High Street and any unauthorised parking is liable to penalty fines by the landlord.


You must keep the YO Desk Space in a good state of repair and condition, but you are not responsible for fair wear and tear to the YO Desk Space.

You must do everything required by law including statutory regulations in respect of the YO Desk Space and its use and occupation under these Terms and Conditions.

You must notify Your Office immediately of any damage or malfunctioning equipment or services.


You are in no way permitted to make any alterations to the YO Desk Space, including moving the tables, desks or any other furniture.

You must not damage the YO Desk Space and must not make any other alterations to the YO Desk Space or to the pipes, cables, wires and ducts serving the YO Desk Space.

It is not permitted to connect any appliances to Your Offices’s electrical sockets other than mobile phones, laptops and tablets, without the express permission of the management, on an individual item basis.


You may be held liable (and, as a result of this, authorise us to charge You) for the cost to repair and  make right all damage to our Premises and items therein caused by you.

Intellectual Property of others

You must not directly or indirectly take, copy or use any information or intellectual property belonging to other YO Users or YO User companies.

Including without limitation personal names, likenesses, voices, business names, trademarks, service marks, logos, trade dress, other identifiers or other intellectual property, or modified or altered versions of the same.

You are responsible for ensuring your computer and/or monitor are locked or closed whenever you leave your desk.

Health & Safety


Your Office will follow government and local authority guidelines regarding Covid-19.

You are required to follow the guidelines including but not limited to;

  1. Hand sanitising on arrival at YO Community Hub
  2. Taking and recording your temperature on arrival each day
  3. Scan the QR code for Track and Trace
  4. Only 1 person in the kitchen at a time
  5. Sanitise your hands when you enter the kitchen
  6. Select a mug for your first drink and then wash and re-use the same for the remainder of that day
  7. Wear a mask whenever moving around the YO Community Hub. You do not need to wear a desk when sitting at your YO Desk Space
  8. Only 1 person in the toilet block at any one time.


You must familiarise yourself with the Fire Evacuation procedure displayed in the office and the location of the fire extinguishers and emergency exits.

Internet Services

Access to internet services are provided for the lawful use of YO Users and not for any activity which in Your Offices’s sole opinion is illegal, immoral, indecent, or detrimental to the enjoyment of other YO Users.

The use of applications that automate requests to any website is not permitted.

The hosting of services or applications designed to be accessed from outside of Your Office is not permitted without prior agreement.

Internet access is available to YO Users via the Your Office wifi services only.

Access codes are non-transferable to non-YO Users

Your Office wifi services are only to be used by YO Users with a current booking.

We reserve the right to monitor your usage of the Your Office internet.

You are responsible for securing your own computer data and protecting yourself from the impact of computer viruses, malware and malicious software. You must also take reasonable steps to safeguard Your Office and other YO Users from the impact of computer viruses, malware and malicious software.

In the event that Your Office experiences any issues with the provision of internet service (whether temporary suspension or otherwise) Your Office will not accept any liability or be held responsible for any loss or damage whatsoever which may impact a YO User.

Phone Booths and Meeting Room Bookings

Phone booth and meeting room bookings can be made by YO Users at the same time as YO Desk space.  The meeting room can be booked as an alternative to a workspace with prior arrangement.

Any meeting room or phone booth booking still unoccupied after 15 minutes from the start of the booking may be released for others to use.

The phone booths have time slots of one and a half hours, starting on the quarter to and quarter past the hour.  This is to allow users time to go in and set up their laptop etc for video calls and afterwards, to allow time for the booth to be cleaned prior to the next booking.

If phone booth users consistently overrun they may be charged for the subsequent time slot.

If a meeting room booking overruns and there is a subsequent booking directly after, the room must be vacated by the first user, for the follow-on booking to start at the designated  start time.

YO Users are to ensure that the booths and meeting room are left in a usable condition for the next booking with shelves and tables cleared.


These are provided for week and 4 week bookings only and will be checked and emptied at the end of the booking unless the same user has a sequential booking starting the next working day.


Cancellation details are listed below, all cancellations are subject to a £2.50 fee to cover bank charges incurred by Your Office.

All cancellations must be done by e-mail to hello@YourOfficeBiggleswade.co.uk with CANCELLATION put in the e-mail subject line.

Daily bookings: can be cancelled up to the day before, non-refundable if cancelled after midnight on the day of the booking.

Weekly bookings: can be cancelled up to 1 business day before, i.e. before 9am on a Friday for a booking starting the following Monday. Cancellations after that, up to and including Sunday will be charged £32. No refund for cancellations made after midnight on the Sunday before the booking period starts.

4 week bookings: can be cancelled up to 2 business days before the first day of the booking, i.e. before 9am on a Thursday for a booking starting the following Monday. Cancellations after that, up to and including Sunday, will be charged at the weekly rate (£75). Once the booking period has started, any cancellations required will be charged at the weekly rate for each full and part week used. If cancelled during the 4 week period, cancellations made after 9am Friday will incur the weekly rate for the following week.

Phone booths and meeting room bookings:

If bookings for phone booths are cancelled a credit will be provided for another phone booth booking.

Meeting room bookings for 1 day or less can be cancelled by noon the previous business day. Bookings for more than 1 day require 5 full business days notice for full refund, 50% refund for cancellations made between 5 and 1 business days, no refund if cancelled once booked period has started.

Cancellations – General

If a booking needs to be cancelled due to exceptional circumstances, management discretion may be applied.

This cancellation policy is designed to be flexible and accommodating, however if there are continual cancellations from the same YO user, Your Office will exercise the right to apply a minimum 1 week cancellation notice period to those YO users thereby any bookings cancelled within a week of a booking start date will be non-refundable. If this right is exercised the YO User will be notified in writing.

Safety and Security

We reserve the right to monitor your usage of Your Office at any time, including your use of the internet. For the safety and security of YO Users there is CCTV in operation inside the offices.

Any access codes or keys which we let you use remain our property at all times. You must not make any copies of them or allow anyone else to use them without our consent. Any loss must be reported to us immediately and you must pay the cost of replacements and the changing of locks if required.

Your Office accepts no responsibility or liability for loss or damage to property brought into Your Office, except where Your Office’s responsibility or liability is determined by English Law. Your Office insurance policy does not cover or include loss, damage or theft of your personal items.

Your Office accepts no responsibility or liability for injury or death of YO Users except where Your Office’s responsibility or liability is determined by English Law.


Your Office may cancel YO Desk Space bookings at any time without notice if a YO User breaches their Agreement of Your Office’s Terms and Conditions.

No relationship of landlord and tenant exists between Your Office and the YO User. Your Office is not the owner of the premises that are made available for your use, and you should follow any directions or instructions provided to you by Your Office on behalf of the owner of the premises.

Facilities and equipment provided within Your Office are intended for use by YO Users whilst in YO Community Hub and may not be removed for use outside of Your Office.

As a YO User we may send you email correspondence regarding your bookings, facilities at YO Community Hub and other announcements regarding Your Office events. We will never sell or share your email address with third parties.

In the event of a misunderstanding or dispute with regards to the meaning of these Terms and Conditions, YO Users are bound by Your Office’s interpretation.

English Law applies with respect to these Terms and Conditions as does the decision of the English courts in any dispute that may occur between a YO User and Your Office.

Your Office’s maximum liability to a YO User is limited to YO Desk Space booking fees already paid unless otherwise determined by English Law.
